Privacy Policy

Version v1.0 — effective September 16, 2026

1. Data we collect

On our marketing website (edenhub.vn), we only collect information you enter yourself:

  • Full name, organization, phone number or email — when you fill out the Contact form.
  • The message you write in the "What do you need help with?" field.

The Contact form is currently sent directly by email and is not stored in any dedicated website database. The website does not yet use any third-party tracking or analytics tools.

2. Data on the EdenHub platform (after you register)

Once you create an account and use the farm management application, the system stores the data you enter: field logs, plot/season information, staff records, input inventory, and other operational data you actively record in the system.

3. Audit trail & consent evidence

For important actions on the platform (signing in, changing permissions, creating or editing field logs, exporting data, accepting these terms), the system records an audit trail: the account that performed the action, the time, what changed, and the IP address and browser/device type of that access. This is required for traceability and food-safety records — the record must be able to prove who logged and edited the data. The audit trail is immutable: no one, including platform administrators, can delete or edit an entry once written. Your acceptance of the Terms of Service and this Privacy Policy when creating an account is recorded the same way (the version you agreed to, the time, and the IP address) as evidence of consent.

4. Data isolation between organizations

Each farm or cooperative is a separate data unit, enforced at the database level — not just hidden in the interface. A cooperative can only see a member's production data once that member actively turns sharing on, and the member can turn it off again at any time.

5. Public data

The traceability page (trace.edenhub.vn) publicly displays certain information about a batch — field logs, harvest date, processing steps — strictly for the purpose of traceability for end consumers. Financial information and selling prices are never displayed publicly.

6. Data sharing with the EdenTradeHub (ETH) network

When your Organization actively turns on the "Market Access" feature (connecting to EdenTradeHub — the trading platform linked to EdenHub), we periodically aggregate and send it a production summary for the Organization: commodity, region (province level), harvest time window, number of contributing farms (a count only, no identities), forecast confidence, and verified grade/certification levels.

This summary does NOT include: farmer names or contact details, exact plot coordinates, purchase prices or internal costs, detailed field logs, or any personal information. Data is only sent once it reaches a minimum anonymity threshold (at least 5 distinct farms within the same province × commodity × month group).

You can review your current consent status and revoke it at any time from within the management app. Revoking only stops NEW data from being sent — data already shared is retained by EdenTradeHub under its standard retention schedule, even after your Organization has left the network, to preserve the integrity of deals already carried out or in progress on that platform. Full details of this mechanism are in the Terms of Service, section "Data sharing with the EdenTradeHub network".

7. Encryption & data transmission

Every connection to EdenHub is encrypted with TLS.

8. Your rights

You can request to view, correct or delete personal data you've provided via the Contactpage. We respond to requests within 30 business days of receiving them.
